(FOR PROGRAM MANAGERS)

Go to https://mentorly.co/en/login and log into your Program Manager Dashboard using the credentials that were provided in our Welcome Email titled "Access to your Mentorly Manager Dashboard.":


Then click on Members:

There are three ways to onboard members:

Adding members manually one-by-one

a. Click on the "+" sign near the top-right corner of the webpage:

b. Fill out all the fields under Info for that member and click Save:

⚠ Note: If the user is a mentor, check the box Mentor; if the user is a mentee, leave the Mentor box unchecked.

c. Then click back 🔙 on your browser to return to the Members sub-tab again. You should now see this your new member show up your user list.

d. Click on this member's name, then click Send Onboarding Email on the top-right corner of the webpage:

This member will then receive the transactional email to onboard themselves onto the Mentorly platform.

When they have done so, their status will change to Onboarded. If they have not done so, their status will remain Pending:


Adding members by batch using CSV file upload

a. Click on the upload sign near the top-right corner of the webpage:

b. Open the template and example files as seen on:

c. Download the CSV file template to your computer, in CSV (Comma-separated values) format:

d. Open the CSV template in Google sheets, Excel or an equivalent application and fill it out as per the example:

e. How to fill out the CSV sheet:

  • Email: this is the only mandatory field on the file, all other columns are optional and can be left empty. ⚠️ Note: It is a good idea to ask members for their preferred email to ensure receipt and a smooth signup process.

  • Full name: first name followed by last name

  • Is Mentor: please use Y for mentors and N for mentees

  • Cohort: you must first create the Cohort under the Program tab > Cohorts and Tags sub-tab

  • Tag: you must first create the Tag under the Program tab > Cohorts and Tags sub-tab

  • Preferred Language: EN for English and FR for French are supported for now

  • Phone number: e.g.: 514-123-4567

  • Linkedin URL: e.g.: https://www.linkedin.com/in/annaanqili/

  • User ID: if you use an internal ID at your organization, input the value

⚠️ Note: when members sign up by an invite using the CSV sheet, mentors will automatically be approved as mentors, and mentors and mentees will automatically be assigned to the cohort and/or tag(s) you specified in this sheet. Manually approval and manually assignment is NOT needed. (Whereas it is needed if using the open-invite way -- see ③ below.)

f. Save your CSV file. The name of the file is of no consequence.

g. Once you're ready to upload the CSV file, click Import, choose the CSV file from your computer, and Upload/Open it:

Give it a few minutes. Then click back 🔙 on your browser to go to the Members tab again.

⚠ Note: The more members in the document, the longer it takes to process the upload -- hundreds of members may take several minutes to process.

h. Once you see all of the new members show up on your Members sub-tab, you're all set to onboard them. Click Send Invitation Emails to batch-email all of the members that were just uploaded:

All members will then receive the transactional email to onboard themselves onto Mentorly, either as mentor or mentee.

When they have done so, their status will change to Onboarded. If they have not done so, their status will remain Pending:

Adding members by open-invite and self-signups

a. Share with potential members your program landing page URL (eg. https://programname.mentorly.co/en)

b. This allows for potential members to self-signup by clicking on Get started or Sign Up:

c. Fill out the sign up form, using the email of their choice:

d. And if they're a mentor, they will follow the steps here; if they're a mentee, they will follow the steps here.

e. Because this is an open-invite, as the program manager, you will have to approve each mentor (but not mentee) to make sure that they should, in fact, be a mentor in your program.

You will have to keep an eye on the mentor signups on your Program Manager Dashboard > Members > filter by Type = mentor:

Click on each mentor's name:

And check the box of Approved Mentor to approve them as a mentor:

Then decide if they should be featured on the home landing page or not, etc. by following the instructions here.

⚠️ Note: if you use cohorts and tags in your program setup, ie. if mentors and mentees need to be in certain cohorts and/or tags, with the open-invite way, as the program manager, you will also need to manually assign each mentor and mentee into the correct cohort and or tag(s). (Whereas manual approval and manually assignment is NOT needed if using the CSV upload way -- see ② above.)
